Wedding Day Management

Our team is dedicated to executing a memorable and perfectly planned occasion, every time! Our RUBY Wedding Day Management Package is perfect for the couple who has their wedding planning under control. Couples soon realize it will be impossible to take care of the many details of the big day all by themselves.  At Your Perfectly Planned Occasion you will work with one of our experienced wedding day directors. Our services begin during your final two months of planning. The best wedding planners will take extra time to learn about you, your vision, your plans and create a synergy that will translate in all the details of the big day. You’ll be comfortable in our capable hands as we help you step into your future!

Eight Week Services Include:

  • Appointments and communication begin eight weeks prior to the wedding
  • An initial 90-minute consultation to be brought up to speed and assist in fine tuning any details
  • Assistance in creating the wedding day itinerary and timeline
  • Finalizing and confirming details with all vendors
  • Collecting final invoices from all vendors
  • Scheduling of wedding rehearsal (as needed and per availability)
  • Ceremony site inspection with Bride and Groom (as needed and per availability)
  • Reception venue site inspection (as needed and per availability)
  • A final phone or video meeting the week of the wedding

Wedding Day Services Include:

  • A personal wedding director and necessary assistant(s)
  • Direction of ceremony/ reception set-up
  • Cueing wedding party
  • Greeting and directing all vendors
  • Placement of standard wedding décor at ceremony site (additional fees may apply for
    more extensive set up)
  • Removing wedding décor from ceremony site (additional fees may apply for more
    extensive break down)
  • Coordinating the ceremony and reception based on the timeline
  • Distributing final payments and/or tips to vendors
  • Wedding day “Emergency Kit” on site
  • Oversee/arrange table and incidental décor at reception site
  • Greeting and accommodating guests through arrival and seating
  • Assume ”point-person” role at ceremony/reception
  • Ceremony and reception coordination receive 10 hours of services
  • Reception only coordination receives 8 hours of services

Starting investment: $1450.00.

SAPPHIRE

Includes everything included in the RUBY PACKAGE. The SAPPHIRE WEDDING PACKAGE leverages the time and experience of our directors by providing the couple with three additional consultations/appointments that will further guide them through the planning process.

First Appointment

  • Appointments and communication begin sixteen weeks prior to wedding day
  • Organizing initial plans and help perfect wedding budget
  • Identifying expectations of the couple for the big day
  • Identifying objectives and advising on the route to get there
  • Provide additional suggestions and vendor referrals when needed

Second Appointment

  • Assessing the arrangements made since first appointment and troubleshooting deficiencies
  • Review the wedding task list progress and prioritizing remaining objectives
  • Review vendor contracts
  • Establishing a firmer working guest count number
  • Assist with invitation verbiage and reception/RSVP/place card requirements
  • Help determine guest favors, attendant gifts

Third Appointment

  • All vendor information shared with Director for final review
  • Develop an arrival/delivery timeline for all vendors
  • Assist with Bride and Groom’s “day-of” preparation timeline
  • Schedule rehearsal (if necessary and based on availability of venue)
  • Schedule rehearsal dinner (if necessary)

Starting investment: $2500.00.

EMERALD

This package is perfect for couples who want to participate in the “fun” details of wedding
planning yet would prefer the guidance of an expert in the event industry for the organizational and execution details. In addition to the services in the RUBY and SAPPHIRE wedding packages, we will also provide the following:

  • Appointments and communication begin up to 8 months prior to wedding day
  • Create a customized wedding task list for the Bride and Groom
  • Create a customized wedding task list for Director and assistants
  • Keep everyone on task by creating a production timeline
  • Help prepare a wedding budget and expense sheet
  • Provide the couple with a complete list of wedding vendor referrals
  • Help setup initial appointments for the couple to meet the vendors
  • Help the couple tailor their vision
  • Communicate with vendors on direction of the wedding vision
  • Assist with color palettes, linens choices, floral options
  • Assist with table design
  • Assist with head table/sweetheart table design
  • Assist with photo/video itinerary and vision
  • Schedule engagement photo session
  • Schedule engagement party (if necessary)
  • Assistance in details for engagement party
  • Advise on current trends in décor, colors, attendant wear, and more
  • Begin planning the unique details (i.e. Vintage transportation, hot air balloon rides, etc.)

Starting investment: $4000.00.

DIAMOND

This detailed package provides every couple with the comfort of having an expert in the wedding industry guide them through the wedding planning process – up to 12 months of service! In addition to the services in the Ruby, Sapphire and Emerald Packages, we will add:

 

  • Develop and maintain a comprehensive summary of the wedding plan, customized to each couple

  • Help develop and make proper use of the wedding budget

  • Create a detailed wedding itinerary for all wedding vendors

  • Create information letters and timelines for all wedding party attendants, ushers, parents and special guests

  • Call and interview all vendors on availability of date, services, price points and logistics

  • Obtain estimates for the design and execution of their services – from sampling to completion

  • Set all initial appointments for the couples to meet with the vendors

  • Keep the couple apprised on relevant wedding shows and events

  • Set appointments for couples to view venues – both ceremony and reception

  • Advise couples on details to consider before making final decisions

  • Schedule menu samplings

  • Evaluate, negotiate and compile all contracts

  • Be involved and communicate with couple on all aspects of wedding planning

  • Assist with menu creation

  • Assist with menu restrictions

  • Help to create and design the wedding floor plan

  • Assist in selection of wedding/reception music and musicians, DJ’s, vocalists

  • Assist in selecting and ordering wedding invitations and stationary

  • Secure calligraphist (if applicable)

  • Coordinate ceremony plan of processional, recessional, and “First Look” photo

  • Coordinate Grand Entrance, Attendant Introductions, Toasts, Blessings

  • Contribute to the Bride’s vision with updates on the classics and trends, in the marketplace

  • Develop a schedule of “face to face” contact meetings with the couple to stay on track (electronic meetings may take place)

  • Finalize the details with each vendor, including delivery and pickup expectations, directions to venues, etc.

  • Create a map invitation insert template (if necessary)

  • Keep in contact with vendors on any changing aspects of the wedding plans

  • Be actively involved in all creative aspects of the wedding when requested

  • Send all vendors “Day Of” Itineraries

  • Be present and available to the Bride the day of the event

  • Coordinate timeline during ceremony and reception with all pertinent parties

BLACK
DIAMOND

The ultimate wedding package is perfect for the couple who want to make the decisions and
bring their wedding to life yet prefer to do none of the organizing planning! Inclusive of the
RUBY, EMERALD, SAPPHIRE AND DIAMOND service, this package takes care of all the “extra
touches” and the “after wedding” details. This package adds:

  • “Essentials” Gift Bags for all Attendants

  • Prepare hostess baskets for all bathrooms

  • Secure hotel room blocks for expected number of out of town guests

  • Secure transportation for Bride and Groom departure

  • Secure wedding night accommodations for Bride and Groom

  • Make sure all “Bridal Items” are on site at either the ceremony or reception (i.e. toasting glasses, personal pictures, guest book, etc.)

  • Take any necessary items from ceremony to reception

  • Provide an exclusive assistant for the Bride for the wedding day

  • Personalize the wedding suite at the wedding night accommodation site

  • Plan a “farewell” brunch for out of town guests to attend the next day

  • Secure the gifts and card box with a trusted friend or family member at the end of the evening

  • Remove all Bride and Groom accessories and personal items from the venues, personally store them until after the honeymoon, and return Groom’s tux (storage of items such as toasting glasses, ring pillow, cake topper, cake cutting set, etc.)

  • Donate and deliver floral centerpieces and bouquets to a local hospital or senior home

  • Send thank you notes to all vendors on behalf of the Bride and Groom

  • Digital photos shared from the “Director’s view”.
